Terms and Policies

Plain language, so we all know what to expect. Last updated October 23, 2026.

1. Terms of Use

These terms explain how VIP — Virtually In Person ("VIP," "we") works with you. By signing up for a program or using this site, you agree to them.

Who we are. VIP — Virtually In Person is run by Pete Colantes. Contact: [email protected].

What we offer.

  • VIP Live: a 90-minute live group session on Zoom, limited to 20 people.
  • VIP coaching: one-on-one 75-minute sessions on Zoom, as a Tune-Up (1 session), Tune-Up Plus (2 sessions) or Full Series (3 sessions).
  • Team cohort: a small group of two to four people, arranged by inquiry.

Built for Zoom. Our work is specific to Zoom. You can use the REAL Framework on any virtual platform. But all practical exercises are done on Zoom, so you will get the most from VIP if you use Zoom.

One seat, one person. Every price is per person. One sign-up covers one person on one screen. Please do not share a seat, for example two people on one monitor.

Your Zoom link. We email your Zoom link before your session. If you have not received it 24 hours before a live session, email me at [email protected].

Session windows. Coaching sessions must be used inside the window that comes with your package, counted from the day you sign up: 30 days for the Tune-Up, 60 days for Tune-Up Plus, 90 days for the Full Series. Sessions not used inside the window expire. The one exception is something beyond your control, like illness or an emergency. Please tell us as soon as you can.

Intellectual property. The REAL Framework, session materials and this site belong to VIP. You may use what you learn in your own work. Please do not copy, resell or share our materials as your own.

Changes. We may update these terms. The date at the top shows the latest version.

Governing law. These terms follow the laws of the State of Washington.

2. Your Virtual Workstation

You are learning to facilitate virtually, and everyone else in the room will be watching you too. So please show up the way you want your own participants to show up.

  • One person per virtual workstation. One seat is one person, on one screen. Please do not share a workstation, for example two people on one monitor.
  • Camera on, and you in view. Your webcam must be on for the whole session, and you must be visible in it.
  • Working tech. A working monitor, webcam and the current version of the Zoom app.
  • A working microphone or headset. We need to hear you clearly, and a headset helps cut echo and background noise.
  • A desktop or laptop is best. Please do not join from a phone if you can avoid it.
  • A quiet area with minimal to no distractions. This is for you and for everyone else. Noise, pets, people walking through and anything else that pulls attention can distract other participants too. Your background is part of what everyone sees.
  • Be on time. We respect everyone's time, and we start and end as scheduled. If you join late, we will not go back over what you missed. Arriving late does not earn a partial refund or any refund.

We keep it casual. We also keep it professional.

3. Conduct

We keep sessions respectful and welcoming, and we hold ourselves to the same standard.

Please do not:

  • advertise or promote yourself, your business or anyone else's in the chat or on camera
  • record, screenshot or livestream the session or share the chat

We may remove anyone who is disruptive or who breaks these rules. No refund is given to anyone who is removed.

4. Recording and Notes

VIP Live.

  • VIP Live sessions are recorded. We use the recordings for our own records and to improve our programs.
  • We do not give recordings to participants, and there is no replay. Please join live.
  • By joining, you agree to be recorded. Zoom also shows a recording notice when you enter.

Coaching sessions.

  • Coaching sessions are recorded unless you ask us not to. Tell us before the session starts.
  • We keep the recording for our own records. A transcript of each coaching session is provided after the session. If you would like the recording itself, ask us.
  • VIP Live: no transcript and no recording are provided.

Participants. You may not record, screenshot or livestream any session, or share the chat, without our written permission.

Notes. You are welcome to take your own private notes. We also keep private notes to help coach you.

5. Confidentiality

Coaching works best when you can speak openly.

  • What you share with us in coaching stays with us. We do not share it with others without your permission.
  • Recordings, transcripts and our notes are stored securely. We do not sell or publish them.
  • We do not use your name, your organization or your story in marketing without your written permission.
  • Exceptions: when the law requires us to share information, or when we believe someone is in immediate danger.
  • In group sessions (VIP Live and cohorts), we ask everyone to keep what others share inside the room. We cannot control what participants do afterward, so please share only what you are comfortable with.
  • Please do not share confidential information from your employer, such as private data or client names. Describe situations in general terms.

6. No-Guarantee Statement

VIP is built to help you grow as a virtual facilitator. Your results depend on your effort, your practice and your situation. We do not promise a particular outcome, such as a promotion, more clients or a certain participant rating. We promise to show up prepared, teach what we know, and work with you honestly.

Our programs are professional training and coaching. They are not legal, medical, mental-health or financial advice.

7. Cancellations, Rescheduling and Refunds

Your time and ours are both important, and planning is key to everyone's success.

How to ask. Email [email protected], or use our request form. Approved refunds go back to your original payment method. They can take 5 to 10 business days to appear. Timing depends on your bank.

VIP Live ($37)

  • If life happens and you can't make it, tell us at least 24 hours before. We will move you to the next date or give you a full refund.
  • Under 24 hours' notice, or a missed session: no refund. We will still try to move you to a later date.
  • There is no replay, so a missed session is not provided to you.
  • If we cancel or reschedule, you may take the new date or a full refund.

Coaching (Tune-Up, Tune-Up Plus, Full Series)

  • To reschedule, give us at least 24 hours' notice. We will rebook you any time inside your window.
  • A session missed without notice will count as used.
  • Refunds: a full refund if you ask within 7 days of signing up and have not yet had a session. After a session has happened, unused sessions are refundable only at our discretion.
  • Arriving late does not earn a partial refund or any refund. Please see Section 2.

Team cohort

  • Two to four people from one team. The price is $1,497 for the group, whether it is two, three or four people. Pricing and dates are agreed in writing before we start.
  • Every person follows the same policies: workstation, conduct, recording, confidentiality and cancellations.
  • Team members' confidentiality applies to each other too.
  • Payment and refund terms are in the written agreement.

8. If Something Goes Wrong on Our End

Technology sometimes fails, and we plan for it. Here is how we handle it.

Starting and ending time.

  • A session may start or end a little late. Zoom may freeze, someone may need to rejoin, or we may need to pause as a group.
  • Please plan on up to 10 extra minutes after the scheduled end. We would rather give you everything we have than cut it short, especially after a technical problem.
  • You are free to leave at the scheduled end time. Running a few minutes over is not a reason for a refund or a reschedule.

If we lose connection.

  • We will rejoin as fast as we can and tell you what happened, by email if the session cannot continue.
  • If a technical problem on our end costs more than 30 minutes of a VIP Live session, we move you to the next date or give a full refund. For coaching, we rebook the time and extend your window by the days affected.

If we need to cancel.

  • Sometimes life hits us hard too. If we need to cancel a session, we will tell you as early as we can.
  • VIP Live: move to the next date or a full refund, your choice.
  • Coaching: we rebook you at the first time that works for both of us, and we extend your window by the number of days affected. If we cannot rebook you within 30 days, you may ask for a refund of the unused sessions.

If the problem is on your side. Please check your tech and update the Zoom app before you join, and have your virtual workstation ready. If your audio, video, internet or power fails and we cannot interact with you, or you cannot rejoin, the session still counts as used and no refund is given. We will help you get back on if we can, and we are glad to talk about options.

9. Payment Plan Terms (Full Series)

  • The Full Series can be paid in full ($897) or in 3 monthly payments of $299. The plan is for people who truly need it. Paying in full is the simplest option.
  • The period is one month. Your first payment is charged when you sign up. The next two are charged automatically to the same card on the same day of each month.
  • Your 90-day session window begins on the day of your first payment. Each session is scheduled once its payment comes in.
  • If a payment fails, we will email you. You will have 3 days after the failed payment to update your card. After that, we may pause your remaining sessions until your account is current.
  • Payment plans do not cancel on their own. If you stop paying, the remaining balance is still owed unless we agree otherwise in writing.
  • Refunds follow Section 7.

Discounts. Nonprofit organizations receive 15% off with proof of nonprofit status. Send proof to [email protected], and we will send you a discount code. One discount per purchase: codes cannot be combined.
